At a glance: This website collects a small amount of business contact information and an organisational question so that Stratum can respond. It is not a channel for claims, clinical or other health information. Stratum does not sell information submitted through the website, add submitters to a marketing list or use the enquiry form for advertising profiling.

1. Scope and who is responsible

This Website Privacy Policy explains how Stratum handles personal information collected through this website, its business-enquiry form, and business enquiries sent to the email addresses or telephone numbers displayed on the site.

Stratum Core Systems, Inc., a corporation incorporated in Delaware, United States, is the controller responsible for the website processing described in this policy. Stratum Core Systems Africa Limited, A14 Basic Estate, Lokogoma District, Abuja, Nigeria, is an authorised intra-group recipient and may handle relevant website enquiries on the instructions of Stratum Core Systems, Inc. Current Stratum operations are based in Abuja, Nigeria. Privacy questions and rights requests may be sent to privacy@stratumcoresystems.com. You can exercise your rights through the contact in section 14. In this policy, “Stratum,” “we,” “us” and “our” refer to these entities as applicable.

This policy applies only to this public website and ordinary business enquiries. It does not govern any future client diagnostic, authorised data transfer or other engagement-specific processing. Those activities would require separate agreements, notices, permissions and safeguards before they begin.

2. Information you provide

The enquiry form asks for:

  • your name;
  • your work email address;
  • your organisation;
  • your role or title, if you choose to provide it; and
  • a short description of the organisational claims-cost question you wish to discuss.

The name, work email, organisation and question fields are required so that we can understand and respond to the enquiry. If you do not provide them, the form cannot be submitted.

If you contact Stratum by email or telephone instead, we receive the contact details, communication metadata and information you choose to provide. The same purposes and restrictions on sensitive information apply.

3. Do not submit health, claims or other sensitive information

The website and enquiry form are not a channel for sending datasets or sensitive information. Do not submit patient, enrollee or employee identifiers, claims records, clinical records, health information or attachments through the form or by email.

If we identify prohibited information submitted inadvertently, we will restrict its access and use, will not use it to conduct a diagnostic or substantive assessment, and will assess secure deletion and any applicable legal, security or incident-response obligations.

4. Technical information

When the form is submitted, the theme uses a keyed one-way transformation of the visitor’s internet protocol (IP) address to create a rate-limiting key configured to expire after approximately one minute. This helps limit rapid repeat or automated submissions. The theme does not include the raw IP address in the enquiry email or intentionally create a WordPress database record containing the form contents.

GoDaddy hosts the WordPress installation. The hosting platform and the service providers Stratum uses for website security and email delivery may process technical information needed to operate, secure and deliver the website and its messages. This may include an IP address, date and time, browser or device information, requested pages and delivery or security logs.

The Stratum theme does not include advertising pixels, behavioural profiling or third-party marketing analytics. It does not intentionally set advertising or analytics cookies for public visitors. The hosting platform, security services or WordPress may use technologies that are necessary to operate and protect the website, and WordPress uses cookies for authorised administrators who sign in. Stratum will revise this policy and implement any required choice mechanism before introducing non-essential analytics, advertising or cross-site tracking.

Stratum does not use this website to collect personal information about visitors’ activities over time across unrelated websites for behavioural advertising. Because that tracking is not used, the website does not currently respond differently to browser “Do Not Track” signals. Stratum does not authorise third parties to conduct that form of tracking through this website. Hosting and security providers may process technical information to operate and protect the site as described above.

5. How the enquiry is handled

The website sends the information entered in the form to a configured Stratum business inbox. The theme does not create a separate WordPress database record of the enquiry. Copies and related metadata may nevertheless exist in authorised email systems, delivery logs, security logs and backups.

Submitting an enquiry does not subscribe you to a marketing list.

6. Why we use the information and our lawful bases

We use website-enquiry information to:

  • respond to the enquiry and assess whether a further conversation may be appropriate;
  • arrange and maintain communications requested by the sender;
  • protect the website, limit spam and investigate security events;
  • maintain necessary business records; and
  • comply with legal obligations or establish, exercise or defend legal claims.

Where applicable, we rely on steps taken at your request before a possible contract to receive and respond to your enquiry and arrange requested discussions. We also rely on our legitimate interests in responding to institutional enquiries, assessing potential fit, keeping necessary records of requested communications and protecting the website and mailbox, where those interests are not overridden by your rights. We rely on legal obligations where processing is necessary to comply with applicable law. Information necessary to establish, exercise or defend legal claims may also be retained and used as permitted by law. Where we specifically ask for consent for a separate purpose, you may withdraw that consent.

We do not make decisions that produce legal or similarly significant effects about a person based solely on automated processing of website-enquiry information.

7. Who may receive the information

Access is limited to people and organisations that need the information for the purposes described above. They may include:

  • authorised personnel of Stratum Core Systems, Inc. and Stratum Core Systems Africa Limited acting within their authorised roles;
  • GoDaddy and other providers used for website hosting;
  • providers used for business email, email delivery, security and information-technology support;
  • professional advisers who are subject to appropriate duties of confidentiality; and
  • regulators, courts, law-enforcement bodies or other recipients where disclosure is required or permitted by law.

We do not sell personal information submitted through the website.

8. International handling

Website-enquiry information may be accessed in Nigeria and processed or stored in other countries where Stratum’s approved service providers operate, including the United States. Where personal data is transferred from Nigeria to another country, Stratum uses a lawful transfer basis and appropriate contractual, technical and organisational safeguards required by applicable law.

9. Retention

If an enquiry does not develop into an active discussion or business relationship, we ordinarily retain it for no longer than six months after the last substantive contact, then delete it from active systems unless a documented legal, security or dispute-related reason requires longer retention.

If an enquiry develops into an active discussion, contract or other business relationship, relevant communications may be retained under the applicable business-record and legal-retention requirements. Technical logs and backups may be retained for the periods applied by the relevant service providers and may persist after deletion from active systems.

10. Security

We use proportionate technical and organisational measures designed to protect website-enquiry information against unauthorised access, loss, misuse or disclosure. Access to the receiving mailbox is limited to authorised personnel. No internet transmission or email system can be guaranteed to be completely secure, which is one reason sensitive information and datasets must not be submitted through this website.

11. Your choices and rights

Subject to applicable law, you may ask Stratum to:

  • confirm whether we process personal information about you and provide access to it;
  • correct inaccurate or incomplete information;
  • delete information that is no longer needed or has no continuing lawful basis;
  • restrict or object to particular processing;
  • provide portable information where a portability right applies; or
  • honour withdrawal of consent where processing is based on consent.

You may also object at any time to direct marketing. Stratum does not currently use the enquiry form to enrol people in direct marketing.

To make a request, email privacy@stratumcoresystems.com. We may need to verify your identity and may retain limited information needed to document and respond to the request. Some rights are subject to lawful exceptions.

If Nigerian data-protection law applies, you may lodge a complaint with the Nigeria Data Protection Commission. You do not need to contact Stratum before doing so, although we welcome the opportunity to address a concern promptly.

12. Children

This is a business-to-business website intended for organisational representatives. It is not directed to children, and the enquiry form should not be used to submit information about a child.

13. Changes to this policy

We notify users of changes by posting the revised policy on this page and updating its effective date. If a material change affects how we use information already collected, we will provide any additional notice or choice required by applicable law.
